BVO Soccer — Privacy Policy

BVO Soccer LLC, a New Mexico limited liability company ("BVO Soccer," "BVO," "we," "our," "us"), respects your privacy. This Privacy Policy explains what information we collect from you and your Player, how we use it, how we protect it, and what choices you have about it.
This Policy applies to information collected through:
- The BVO website at bvosoccer.com
- The BVO member portal at bvosoccer.com/portal
- The registration form at bvosoccer.com/register
- Direct communication with BVO coaches and staff (email, text, phone, in-person)
1. Information We Collect
Information you provide directly:
- Account / Contact Info: Parent or guardian name, email, phone number, home address, second-parent contact info (if you provide one)
- Player Info: Player name, nickname, date of birth, age, position, current playing level, self-reported skill level, training focus areas, photos (if you upload any)
- Registration Answers: Your responses to the registration questionnaire — including how you heard about us — and any notes you choose to share
- Payment Info: Card or bank account details are collected and processed by Stripe, our payment processor. BVO does not store full card numbers or bank account details. We retain only the Stripe customer ID and the last 4 digits of the payment method for reference.
- Signed Documents: The Family Agreement signed via SignWell, including any custom information you entered (emergency contact, medical conditions, photo/video preference)
- Communications: Email, text, or call records when you communicate with BVO
Information collected automatically:
- Booking & Attendance Data: Sessions booked, sessions attended, no-shows, cancellations
- Coaching Notes: Internal notes BVO coaches keep about your Player's progress, training focus, and group placement. These are for internal coaching use only and are never shared with the family unless BVO shares them in person.
- Server logs: Standard web server logs (IP address, browser type, pages visited, timestamps) for security and operational purposes
Information from third parties:
- Stripe — payment status, billing events
- SignWell — document signing status and signed PDFs
- Firebase Authentication — your login email and authentication state
2. How We Use This Information
We use the information we collect to:
- Provide and operate the BVO training program (scheduling, billing, communication)
- Group players appropriately based on age, skill, and BVO's coaching assessment
- Send invoices, payment reminders, scheduling updates, and other operational communications
- Respond to your questions and requests
- Improve our coaching, programs, and website
- Maintain safety and address emergencies during training sessions
- Comply with legal obligations (tax records, insurance compliance, court orders)
- Send occasional marketing communications about BVO programs (you can opt out at any time)
We will NOT:
- Sell your personal information to third parties
- Share your information with advertisers
- Use Player photos or video for purposes outside what you authorized in the Family Agreement
3. Children's Privacy
BVO Soccer's training program is designed for youth players. We do not knowingly collect personal information directly from children under 13 without verifiable parental consent. All Player information is provided by the Parent or Guardian during registration and onboarding.
If you believe a child has provided BVO with personal information without your consent, contact niko@bvosoccer.com immediately and we will delete the information.
We comply with applicable provisions of the Children's Online Privacy Protection Act (COPPA) and New Mexico law regarding the collection of children's information.
4. Who We Share Information With
BVO shares your information only with:
- Stripe (payment processing) — privacy policy: https://stripe.com/privacy
- SignWell (electronic signature) — privacy policy: https://www.signwell.com/privacy/
- Google Workspace / Gmail (email and calendar for niko@bvosoccer.com) — privacy policy: https://policies.google.com/privacy
- Google Cloud / Firebase (website hosting, member portal database) — privacy policy: https://firebase.google.com/support/privacy
- Other coaches employed or contracted by BVO, when relevant to coaching the Player (Player info only — not billing/contact unless needed)
- Insurance carriers when required to roster active players for coverage
- Law enforcement, courts, or government agencies when required by law or to protect rights, property, or safety
If BVO is acquired by or merges with another organization, your information may be transferred to the successor entity, subject to this Privacy Policy.
5. Data Security
BVO uses reasonable physical, technical, and administrative safeguards to protect your information:
- Login data secured by Firebase Authentication (industry-standard hashed passwords, optional two-factor)
- Database access restricted so that each family can read only their own data, with authorized BVO staff able to read records as needed to operate the program
- All web traffic served over HTTPS
- Payment data never touches BVO's servers — handled entirely by Stripe
- Internal staff access is restricted to authorized BVO Soccer team members
No system is perfectly secure. If you believe your account has been compromised, contact niko@bvosoccer.com immediately.
6. Your Choices & Rights
You have the right to:
- Access the information BVO has about you and your Player
- Correct inaccurate information (you can edit most fields directly in the member portal)
- Delete your account and all associated data at any time, using the "Delete My Account" button in your member portal's Account Profile section. This action:
- Cancels any active Stripe subscription
- Deletes your family record, players, bookings, and login from BVO's systems
- Marks your Stripe customer record as deleted (Stripe retains historical invoices for tax/accounting purposes — typically 7 years — but you cannot be charged again)
- Opt out of marketing communications by replying STOP to any text or unsubscribing from any marketing email
- Withdraw consent for photo/video use — even after signing the Family Agreement — by emailing niko@bvosoccer.com
Some information must be retained even after account deletion when required by law (e.g., financial records, signed liability waivers retained for the statute-of-limitations period). We will not retain more than is legally required.
7. Cookies & Tracking
The BVO website and member portal use minimal cookies, limited to:
- Authentication state (so you don't have to log in repeatedly)
- Session storage for the multi-step registration form (so you can refresh without losing progress)
BVO does not currently use third-party analytics, advertising trackers, or social media pixels. If we add any in the future, we will update this Policy.
8. State-Specific Rights
If you reside in California: You have the right to request disclosure of categories of personal information collected, sale of personal information (we do not sell), and deletion. Contact niko@bvosoccer.com to exercise these rights.
If you reside in the European Economic Area or United Kingdom: BVO does not market services in the EEA/UK and does not knowingly process EEA/UK residents' data. If you believe we hold your data, contact us for deletion.
9. Changes to This Policy
We may update this Privacy Policy as our practices evolve or as legal requirements change. Material changes will be communicated by email to active members and posted at bvosoccer.com/privacy-policy. The "Last Updated" date at the top will be revised.
